Cloud Storage on Learning Environments-Supported PCs and Macs: Box

These instructions are recommendations for Learning Environments-supported shared computers, which include Office of the Registrar (OTR) classroom podium and lab computers, lab computers in Fondren and residential colleges, and select departmental lab computers.

Box

Logging In to Box

  • Go to https://rice.box.com/
  • Click the “Continue” button to log in as part of Rice University.

  • At the Rice Identity Provider page, enter your Rice NetID and NetID password.

  • Don’t save your password in the browser.
  • You should then see your Box folders and files.


Working with Box Files

  • To open the file with software installed on the computer, first download it to the local computer. To do this, hover your mouse over the file and click on the the “More options” icon (three dots) next to the filename. Then click on “Download.” If prompted, click the option to save the file.

  • On Windows, your file will be saved to the “Downloads” folder, which is accessible from the desktop from the Downloads shortcut.

  • On Macs, your file will be saved to the “Downloads” folder, which is accessible from the right side of the dock, and it is next to Trash. Please note that the icon might not be a blue folder. Instead, it might be a thumbnail of the file that you just downloaded.

  • Open the file you downloaded by double-clicking on it or opening it from within your desired application.
  • Depending on the filetype, you may also have an option to “open with” other in-browser options. For example, if you want to lecture from a PowerPoint slide deck, it may be easiest to click on “Open with Microsoft PowerPoint Online.” Then click on “Slide Show.” From there, you can start your presentation “From Beginning” or “From Current Slide” by clicking on the desired option.

Saving Files to Box

  • If you opened your file, eg, a Microsoft Office document, using the one of the “Open with MS Office Online” options and you’ve edited it, make sure it says “- Saved to Box” next to the filename.

  • If the the file that you want to save to Box is located on the local classroom podium or lab computer, make sure you save the file to the local computer first.
  • NOTE: If you already have a file in Box with the same filename as the local file that you want to save to Box, and you don’t want to overwrite the version in Box, be sure to rename the file on the computer before saving it to Box. You will NOT get a prompt asking you whether you want replace the existing file or keep both files.
  • In Box, navigate to the folder where you want to save your file. Then you can drag-and-drop the file to your Google Drive.

  • Alternatively, you can click on the “New +” button and then click on “File Upload” or “Folder Upload” to upload the file or folder to Box.

  • You should see confirmation messages indicating that the file uploaded successfully.

Logging Out of Box

  • Click on your avatar/initials in the upper-right corner, and then click on “Log Out.”

  • Close all of your browsers.
  • If you are finished using the computer, please remember to log off.
